Create a reminder template for a simple task

Reminder templates simplify your users' day-to-day work, as repetitive, simple tasks have already been prepared in a template.

Here's how

  1. Open the administration by clicking on Administration in the edoc workplace app drawer (9-dot menu) in the edoc contract section.

  2. Click on Manage reminder templates to open the overview.

  3. In the Reminder templates section, click on Create new reminder template.

  4. Enter a name in the Name of reminder template field.

  5. Enter at least one category in the Category field if you want to map the template to a category. If you do not enter a category, your users can use the template for all categories.

  6. Select the reminder type Task.

  7. Under Time interval, enter a number and the time Unit, e.g. days, weeks, months. The reminder date is calculated from this information when the reminder is created.

  8. Under Recipients, select the person or group to whom you would like to send the reminder. You can specify yourself, other people, a group or a combination of people and groups.

  9. Enter a description for the task in the Reminder data section under Reminder note.

  10. Select a priority for the reminder under Reminder priority in the advanced settings. The default priority is Default.

  11. Click on Create to add the reminder template to the list of all reminder templates.

You can also define more actions in the Advanced settings section:

Things to know

If you configure an administrative escalation notification in the administration under Administration > Configure mapping for categories > Map reminder types, the escalation recipients are merged and created as recipients of the escalation when a reminder is created using a reminder template.

The data for the number of days until escalation and the function for calculating the period before or after the reminder date are taken from the administrative escalation notification. The data specified in the reminder template is therefore overwritten.

Only if there is no administratively defined escalation notification are all details and data taken from the reminder template.
