Configure connection settings for e-mail server settings

To ensure that your users receive e-mail notifications about their tasks, you must configure the connection to the email server and the corresponding authentication method in edoc workplace for each workflow definition.

An existing and valid workflow definition is required to configure the connection. An SMTP mail server is supported.

You can choose one of the following connection methods:

  • E-Mail – SMTP – Basic Authentication

  • E-Mail – SMTP – OAuth 2.0

  • E-Mail – SMTP – Microsoft Entra

Different fields are displayed depending on the connection method.

Here's how

  1. Open edoc workplace and click on E-mail server settings.

  2. If necessary, use the Filter section to filter the displayed list by the name of the workflow definition. You can also enter just one word from the name.

  3. In the workflow definition, click Configure to view or edit the details. If you want to modify an existing workflow definition, click on Edit.

  4. In the Connection method section, select the appropriate connection method. If you select None, no e-mail will be sent.

Specify the settings for the "E-Mail – SMTP – Basic Authentication" connection method

Enter the following information to use the E-Mail – SMTP – Basic Authentication connection method:

  1. In the Connection method section, select E-Mail – SMTP – Basic Authentication.

  2. In the Connection to the e-mail server section, enter the following:

    1. Host name: Enter the DNS name or IP address under which your e-mail server can be reached.

    2. Port number: Enter the port number through which your e-mail server is accessible (e.g., 25).

    3. Encryption method: Select the encryption method for the e-mail server, such as STARTTLS or SSL/TLS.

    4. User name for authentication: Optional. Enter a user name. If your SMTP server does not require authentication, entering a user name is optional.

    5. Password for authentication: Optional. Enter a password. If your SMTP server does not require authentication, entering a password is optional.

  3. In the Details about e-mail notification section, enter the following:

    1. Sender's e-mail address: Enter the e-mail address from which you want to send notification e-mails for each workflow step.

    2. Sender name: Enter a user-friendly name for the e-mail address from which you want to send notification e-mails for each workflow step.

  4. Click on Save in the ribbon.

By clicking on Test connection, you can check at any time whether the e-mail server can be reached under the specified host and port.

Specify the settings for the "E-Mail – SMTP – OAuth 2.0" connection method

Enter the following information to use the E-Mail – SMTP – OAuth 2.0 connection method:

  1. In the Connection method section, select E-Mail – SMTP – OAuth 2.0.

  2. In the Connection to the e-mail server section, enter the following:

    1. Host name: Enter the DNS name or IP address under which your e-mail server can be reached.

    2. Port number: Enter the port number through which your e-mail server is accessible (e.g., 25).

    3. Encryption method: Select the encryption method for the e-mail server, such as STARTTLS or SSL/TLS.

    4. User name for authentication: Enter a user name.

    5. Token endpoint: Enter the URL of the OAuth 2.0 server to request the token.

    6. Application ID (client ID): Enter the application ID.

    7. Client secret: Enter the client secret.

    8. Scope: Optional. Specify the scope if necessary.

  3. In the Details about e-mail notification section, enter the following:

    1. Sender's e-mail address: Enter the e-mail address from which you want to send notification e-mails for each workflow step.

    2. Sender name: Enter a user-friendly name for the e-mail address from which you want to send notification e-mails for each workflow step.

  4. Click on Save in the ribbon.

By clicking on Test connection, you can check at any time whether the e-mail server can be reached under the specified host and port.

Specify the settings for the "E-Mail – SMTP – Microsoft Entra" connection method

Enter the following information to use the E-Mail – SMTP – Microsoft Entra connection method:

  1. In the Connection method section, select E-Mail – SMTP – Microsoft Entra.

  2. In the Connection to the e-mail server section, enter the following:

    1. Tenant ID: Enter the tenant ID.

    2. Application ID (client ID): Enter the application ID.

    3. Client secret: Enter the client secret.

    4. E-mail address of the mailbox: Optional. Enter an e-mail address if you want the mailbox's e-mail address to be different from the sender's e-mail address in the Details about e-mail notification section. If you do not enter an e-mail address, the sender's e-mail address will be used automatically.

  3. In the Details about e-mail notification section, enter the following:

    1. Sender's e-mail address: Enter the e-mail address from which you want to send notification e-mails for each workflow step.

    2. Sender name: Enter a user-friendly name for the e-mail address from which you want to send notification e-mails for each workflow step.

  4. Click on Save in the ribbon.

By clicking on Test connection, you can check at any time whether the e-mail server can be reached under the specified host and port.
