Specify a delegate for another person

As an administrator, you can specify a delegate in the personal settings (person icon) under User settings > Delegation settings for the workflows in your organization if a team member in any team is absent. Users can also set up a delegate for themselves for upcoming vacation days.

The option is only available in conjunction with edoc workplace.

If you set up a delegate for another person, you can either specify a group or an individual person. By specifying a delegate, the selected persons or groups receive all the tasks of the absent person.

To set up a delegate for another person, you must be a member of the Admin role in Keycloak.

Temporary inheritance of permissions to the delegate

If you specify another person or group as a delegate for another person (or for yourself), the delegate receives all the necessary permissions to complete the task. The permissions are only granted for the duration of the delegation.

If you use approval policies for cost centers, the corresponding permissions are also temporarily inherited.

Clarify the delegation rule with those involved in advance.

Here's how

  1. Open your personal profile settings (your name and profile picture) in the main bar of the application.

  2. Click on User settings.

  3. Under Delegation settings, select the user for whom you want to define the delegation. In the tabular overview, you can enter the details for each workflow by clicking in the respective fields.

    1. Group: If a user group is to take over the delegation, enter the group.

    2. Individual: If a specific person is to take over the delegation, select the name of the person.

  4. Enter the period for the delegation by selecting a date under Start and End. If the period for the delegation is unclear, do not enter a date and activate the entry under Active without end date.

  5. Click on Save in the ribbon.

No permissions for limit approval are inherited. The persons representing must be members of the limit approval group.

The permission to display all tasks of a company is not inherited. To display all tasks of a company, the persons representing must be members of the administrative group for the respective company.
