Once an invoice has gone through all the verification steps, you can end the invoice workflow.
Use the Complete workflow action in the ribbon of the capture form to complete the invoice workflow. All invoice verification steps have been completed and the invoice can be transferred to your ERP system as a booking record.
You have the following options:
-
You can transfer the invoice data directly to the ERP system with Complete workflow.
-
You can end the workflow of an invoice without a data transfer (note required).
If you use the Complete workflow without data transfer action, no posting record is created in your ERP system. However, all other administratively configured functions are applied, e.g. creation of a workflow protocol or transfer to an ECM system (archive system).
The function is only available to you if it has been activated by your administration.
If an automatic mandatory field check has been administratively configured for the invoice, the fields must be filled with the corresponding data so that you can complete the workflow for the invoice.
Let's assume you have an invoice that has successfully passed all the verification steps. You would now like to transfer the invoice to your ERP system as a posting record. However, there is a mandatory field check.
Here's how
-
Click on Complete workflow in the ribbon to open the Complete workflow dialog.
-
Under Mandatory field check, check whether the fields to be checked have a check mark in the Status column. If individual fields have a check mark under Status, correct the corresponding fields in the invoice.
-
Click on Complete workflow.
All verification steps for an invoice are now completed with the Complete workflow action. The invoice is no longer displayed in the tasks.
