To avoid missing any more important tasks or to keep track of missed deadlines for important tasks, you can use the option Set conditions for escalation.
When creating a reminder or in a reminder template, you can specify e-mail recipients (individual persons or groups) and the time period (before or after the reminder date). When the calculated date is reached, an e-mail with the task is automatically sent to the specified e-mail recipients.
Things to know
Your administration may have already defined an escalation notification with the corresponding recipients and the number of days. In this case, you can only add more recipients, but you cannot change anything else.
You can recognize the administratively added recipients of the escalation notification by the additional indicator (default) in the e-mail address.
Here's how
-
Create a reminder or a reminder template.
-
Enter the required data for the reminder.
-
Open Advanced settings > Set conditions for escalation.
-
Move the slider for Enable conditions for escalation so that the feature is activated.
-
Enter at least one person to whom the escalation notification should be sent under Recipients. You can also specify a group. Recipients (person, group) may already exist when you create the notification. Your administrator has entered the recipients for the escalation and you cannot remove them.
-
Enter the number of days in Number of days until escalation relative to the reminder date.
-
Activate the correct period, which calculates the actual date based on the number of days specified in the reminder date:
-
Calculate time period in days before reminder date
-
Calculate time period in days after reminder date
-
-
Save the reminder (Create or Update).
The Date is automatically displayed in the Date on which the escalation notification is sent field.
All specified recipients receive a single e-mail with the corresponding task.
