Work with the reminder overview

The reminder overview provides you with a complete overview of the reminders with various features for managing and viewing reminders. The reminder overview is particularly helpful if you manage a lot of reminders and want to get an overview of pending and completed reminders.

In the reminder overview, you can use the available buttons to filter the entries by open or completed reminders and by recipient and recipient groups, for example. With Reset filter, you can remove all filters with one click and return to the original display.

If you have the appropriate permissions, you can not only view and change your own reminders, but also the reminders of other recipients.

You can filter, sort, and group the list for your purposes, there are a number of options you can use depending on your preference.

Overview of the actions

In the list of reminders, you will find a button in the Actions column. Click to open a list of actions for the relevant column.

The following actions are available to you:

  • Show details about the reminder: Shows the details of the reminder.

  • Display document in ECM system: Displays the document in the ECM system.

  • Show contract properties: Displays the contract properties from edoc contract.

  • Show contract control: Opens the contract control for the relevant contract of the reminder.

To change the sort order, simply click on the column header. In addition, each column has its own menu, which you can open by pointing to the column in the table and clicking on the three horizontal bars ("hamburger" menu or burger menu). To group, simply click on the corresponding entry. To filter the column, click on the filter symbol.

Change the column sequence with drag and drop

You can change the order of the columns by clicking on any column header, holding the left mouse button and positioning the column at the corresponding position in the table (release the mouse button).

You can simplify the table by grouping the table content.

Click on any column header, hold the left mouse button and drop the column onto the field Drag a column onto this field to group rows that belong to the column. The field can be found in the side menu under Columns. The table is grouped according to this entry, e.g. Contract no. so that you can focus on one contract more easily.

Tip

If you prefer a more compact approach, the functions for columns and filters are also available at the edge of the table.

Export the list with the context menu

You can export the entries in the list as an Excel file or CSV file using the Export list context menu item.

You will find the reminder overview as a tile on the start page or in your dashboard.

Work with profiles for filtered views in the reminder overview

By default, the reminder overview is filtered when you open it so that you can see the open reminders assigned to you personally at a glance.

However, if you require special views of the reminder overview, you can work with profiles. You can use the Manage profiles feature in the reminder overview to save different views of the reminder overview. With your own profiles, you can quickly access filtered views that you have created for the respective tasks.

You can do the following with the view profiles:

  • Create new profile: you can specify the current view of the reminder overview with Enter and save name for current profile and save as profile.

  • Select an existing profile: you can select an existing profile to open the reminder overview with this profile with Apply profile.

  • Change existing profile: you can select an existing profile to change it. To change a profile, first open the reminder overview with the profile and make your changes. Click on Manage profiles > Change profile to save the changed view of the reminder overview.

  • Delete existing profile: you can select an existing profile to permanently delete the selected profile with Delete profile.

  • Define default profile: under Set a default profile, you can select an existing profile and use Save default profile to define this profile as the default view for the reminder overview. The selected profile is used every time the reminder overview is opened.

  • Remove default profile: you can remove the specified default profile at any time with Remove default profile. The profile is retained, and you can select it again at any time. If you do not select another default profile, the reminder overview is always displayed with the reminders assigned to you personally and those that are open.

Tip

If you want to rename a profile, first select the profile to open the reminder overview. Click on Manage profiles and enter a meaningful name under Specify and save name for current profile. Save the profile.

You can permanently delete the outdated profile with Delete profile.
