This function is only available in conjunction with edoc workplace.
Your administrator must also have configured the corresponding date fields for deadline monitoring.
You can directly identify upcoming deadlines and due dates, e.g. for payment terms or discount periods, in the task overview. Deadline monitoring serves as a kind of visual "early warning system" with three urgency levels (OK, Warning, Critical). The urgency levels are calculated based on the days that lie before the deadline (due date) is reached. With deadline monitoring, you can keep an eye on pending and due tasks at all times.
The corresponding fields are highlighted in color in your task overview according to urgency and the number of days remaining is displayed as soon as the second urgency level has been reached:
-
Green: Everything is still OK, you are on schedule. The upcoming appointment is not yet urgent.
-
Yellow: The second level (Warning) has been reached. The upcoming deadline is approaching.
-
Red: The third level (Critical) has been reached. The upcoming deadline is imminent.
How the "early warning system" works with deadline monitoring
Let's assume that the date field for the payment term of an invoice has been administratively configured for deadline monitoring. For example, your administration has defined the following deadlines for the urgency levels:
-
No urgency: All appointments are highlighted in Green by default.
-
Twelve days before the deadline is reached: As soon as the twelfth day before the payment deadline is reached, the field Yellow (Warning) is highlighted and the number of days remaining is displayed.
-
Seven days before the deadline is reached: As soon as the seventh day before the payment deadline is reached, the field Red (Critical) is highlighted and the number of days remaining is displayed. If a deadline has been missed, the number of days elapsed is counted up.
You can therefore see the urgency of the task and the remaining days in the tabular overview at any time.
The number of days always refers to the number of weekdays. Weekends and public holidays are always included in the remaining days.
When you receive daily task reports by e-mail, you can see the total number of tasks per vendor. For each vendor, you can also see the total number of tasks per urgency level at a glance.
In the task overview, you can sort the Deadline monitoring column as usual and filter by color.
If you have adapted the task overview to your personal way of working, you may not immediately see the Deadline monitoring column. You can display the column in the table by clicking on Columns at the edge of the table and activating Deadline monitoring in the list.
