It can happen from time to time that invoices or other documents inadvertently exist more than once and are passed through the verification steps as a workflow task.
You can recognize potential duplicates by the stamp with the label Duplicate detected as soon as you have opened the invoice.
The duplicates are automatically identified on the basis of certain criteria that have been defined administratively. If you have any questions about the criteria, please contact your administrator.
You can use the duplicate check to view the potential duplicates individually, compare them and decide whether a document is actually a duplicate. Any duplicate you identify is then irrevocably removed from the workflow. If you identify a potential duplicate as an independent document, this document remains part of a workflow. The Duplicate detected stamp is no longer displayed.
Once you have identified a document as independent, you can no longer reverse this decision. The duplicate that was recognized too late then runs through all workflow steps.
Let's assume you have opened an invoice that has been marked as a duplicate and you want to sort out the real duplicates.
Things to know
-
The decision as to whether it is a duplicate always relates to the source document, i.e. the document that is currently open.
-
The detailed view for comparing documents is only available in conjunction with edoc workplace.
Here's how
-
Click on the Duplicate detected stamp to open the Duplicate check dialog. All documents for which the current document could be a duplicate are displayed in the overview.
-
If required, click on Details if you need more information for your decision. You can now view the documents as a PDF preview and also their attributes (properties). Click Back to overview to return to the overview.
-
Under Is this source document a duplicate?, click Yes if it is a duplicate and you want to remove it from the workflow. Click No if the document is an independent document and should continue to be run through the verification steps (workflow).
-
Confirm your decision with OK.
