Summary
After you have created a d.3 group in d.3 admin, an unreadable (generic) abbreviation of the group name is automatically generated. The abbreviation is used administratively to ensure that each d.3 group receives a unique ID (abbreviation).
In d.velop documents version 8.1, the group abbreviation always consists of the first 10 digits of the group name. If the first 10 digits lead to an identical group name, the 10th digit is automatically replaced by a number.
Example:
-
The name of the group G_Personalakte (G_Personnel file) is converted to the abbreviation G_Personal (G_Personnel).
-
The name of the group G_Personalakte_Köln (G_Personnel file Cologne) is converted to the abbreviation G_Persona2.
As of d.velop documents Current 2023 and Annual 2022, a combination of digits is generated as a group abbreviation (e.g. 1a2b3c4d-x) in the event of a duplication of 10 characters, so that there is no longer any duplication.
In d.velop documents Current 2023 and Annual 2022, however, you can make the abbreviation more readable and then change the display name of the generic abbreviation in d.3 admin. The abbreviation of the group name is not changed by changing the display name and cannot be overwritten in any other way.
Important requirements
-
Administrative access to d.3 admin to create new d.3 groups and rename existing d.3 groups.
Solution
Before you create groups, get an overview of the potential group names.
Tip
Define a naming convention with the participants before setting up the groups in d.velop documents.
Let's assume you already have a group with the name G_Personalakte (abbreviation G_Personal) and you want to specify another group for personnel files with a city name as an addition, e.g. G_Personalakte_Köln.
You can do the following to ensure that the abbreviation is also identifiable and legible for you so that you can quickly distinguish between the groups:
-
Give the new group a slightly different group name, e.g. G_PA_Köln (G_PA_Cologne). The first 10 characters of the generated abbreviation are thus G_PA_Köln and therefore differ from the group abbreviation G_Personal (G_Personnel).
-
Create the new group with the name G_PA_Köln.
-
Change the display name of the group to G_Personalakte_Köln accordingly. The abbreviation remains unaffected by the change.
