You can map different reminder types for each mapped category and specify whether an escalation notification should be sent. The users then receive a reminder by e-mail for the deadlines and dates.
The following reminder types are available:
-
Task: Sends a reminder to the person or group who would like to be reminded of this document at a certain time.
-
Termination: reminds you to terminate the contract.
-
Simple renewal: reminds of a one-time renewal of a contract.
-
Guarantee: reminds you of the expiration date of a guarantee.
-
Recurring renewal: reminds you of contract renewals that recur at certain deadlines, e.g. every second year after the contract is concluded.
Tip
Clarify in advance with those involved which reminder types are required for which categories and only activate the required reminder types and escalation notifications.
Activate the corresponding reminder types and escalation notification for the category.
Suppose you want to use both the reminder and the escalation notification for a category.
Here's how
-
Open the administration by clicking on Administration in the edoc workplace app drawer (9-dot menu) in the edoc contract section.
-
Click on Configure mapping for categories.
-
Click on Configure reminder types for category for the corresponding category in the overview.
-
Activate or deactivate the required reminder types for the category. You can either activate or deactivate different reminder types individually or activate or deactivate all reminder types simultaneously by clicking on Enable all reminder types for category or Disable all reminder types for category.
-
Optionally activate or deactivate the sending of escalation notifications under Enable escalation. By activating, you define the data (recipients, number of days for the calculation) for the respective reminder type in advance. Your users cannot change the specified data, but they can add additional recipients.
-
Enter at least one recipient (person or group) under Define conditions for escalation. The defined recipients of an escalation notification are added by default when creating a reminder with escalation.
-
Enter a value Number of days until escalation relative to the reminder date.
-
Activate the corresponding calculation option: Time period before reminder date in days or Time period after reminder date in days.
-
Click on Save.
Things to know
If you specify certain people or groups as recipients and the number of days until escalation, your users cannot change the data. However, your users can add new recipients for the escalation notification.
The selected recipients receive the additional indicator (Default) in the e-mail address when a reminder is created.
