With the Deadline monitoring function, you can configure a kind of visual "early warning system" for your users in the task overview (edoc workplace) per edoc app and across all companies, so that you always have an easy overview of upcoming deadlines and due dates, e.g. for payment due dates or discount periods.
If your users also receive a daily task report by e-mail, the tasks are also highlighted in the daily task report according to their urgency level.
There are three urgency levels (OK, Warning, Critical). The urgency levels are calculated based on the days that lie before the deadline (due date) is reached.
The calculation for urgency levels in deadline monitoring is based on the corresponding date fields in your master data. The number of days can only be displayed correctly if the information for due dates in your master data, e.g. for payment due dates, is up to date.
You can configure each date field for deadline monitoring. In edoc workplace, these fields are highlighted in color according to urgency and the number of days remaining is displayed as soon as the second urgency level is reached:
-
Green: Everything is still OK, the task is on schedule. The upcoming deadline is not yet urgent.
-
Yellow: The second level (Warning) has been reached. The upcoming deadline is approaching.
-
Red: The third level (Critical) has been reached. The upcoming deadline is imminent.
Clarify in advance with those involved which date fields are suitable for deadline monitoring, how the columns should be named for better identification and when the urgency levels for Warning and Critical should apply.
Let's assume you want to configure the date of the payment target for deadline monitoring for invoices: The urgency level Warning should occur twelve days and Critical seven days before the deadline is reached. By default, the fields are displayed in green if none of the higher urgency levels have been reached.
Here's how
-
Click on edoc workplace in the sidebar of your application to open the edoc workplace dashboard.
-
Click on Deadline monitoring in the Settings section.
-
Open the Fields for deadline monitoring in the edoc invoice workflow section and activate deadline monitoring.
-
Enter a meaningful name in the table under Column designation so that your users can recognize what it is at first glance. You can also only use a column name once within an edoc app.
-
Under Status: Yellow | Warning, enter the number of days (12) from which the field should be displayed in yellow.
-
Under Status: Red | Critical, enter the number of days (7) from which the field should be displayed in red.
-
Under Date field, select the field that contains the date for the payment term, e.g. Due date. You can use date fields several times within an edoc app with different column captions.
-
Click on Save in the ribbon.
The number of days always refers to the number of weekdays. Weekends and public holidays are always included in the remaining days.
Further configuration options for the color highlighting of the columns
You can deactivate the status for Status: Green | OK in the table for an entry. The tasks are then only highlighted in color from the second urgency level (Warning). You can also, for example, enter no value under Status: Yellow | Warning and only enter a number of days under Status: Red | Critical so that only the deadline-critical tasks are highlighted.
